Terms of service

These terms describe the rules for using the Cashbox website and application. Please read them carefully — by using the service you agree to them.

About these terms

Cashbox is a software-as-a-service product for event, festival, and production finance, operated by a company established in Estonia. These terms form a binding agreement between Cashbox and the organisation or individual subscribing to or using the service.

If you accept these terms on behalf of an organisation, you confirm that you have authority to bind it.

Accounts and eligibility

You must be at least 18 years old and able to form a binding contract to use Cashbox.

You are responsible for keeping your credentials secure, for keeping your email address current, and for activity that occurs through your account. Notify us immediately if you suspect unauthorised access.

Organisations, roles, and data

Cashbox is structured around organisations. The person who creates an organisation (the owner) controls its membership, invited users, assigned roles (owner, admin, manager, member, finance, production, viewer), and the data entered into it.

The owner is responsible for deciding who is invited, what access each member receives, and for the accuracy of the financial and tax information the team records.

Between you and us, your organisation retains ownership of the content it uploads to or creates in Cashbox. You grant Cashbox a limited licence to host, process, back up, and display that content solely to provide and improve the service.

Acceptable use

You agree not to misuse the service. In particular, you must not: attempt to access another organisation's data; reverse-engineer or scrape the product; upload malicious files or unlawful content; use the service to violate tax, accounting, privacy, or other applicable laws; or resell access to the product without our written agreement.

We may suspend or restrict accounts that we reasonably believe are violating these rules or putting other customers at risk.

Plans, trials, and billing

Cashbox is offered on monthly or annual subscription plans (currently Solo, Studio, Scale, and Enterprise). Plan features, active-event limits, user limits, and storage limits are described on the pricing page.

New organisations may start with a free trial. At the end of the trial, or at the end of each billing period, the subscription renews automatically unless cancelled before the next renewal date.

Payments are processed by Stripe. Prices shown on the pricing page are exclusive of VAT unless stated otherwise; applicable taxes are added at checkout.

If usage exceeds a plan's limits, we may require an upgrade before continuing to add events, invite users, or upload attachments. You may change plans at any time from Settings → Billing; upgrades take effect immediately and downgrades at the next renewal.

Fees already paid are generally non-refundable except where required by law.

Third-party services

Cashbox relies on third-party providers — including Google Cloud / Firebase for hosting, authentication, database, and storage; Stripe for subscription billing; and Resend for transactional email. Your use of the service is also subject to those providers' terms where they apply.

We select our subprocessors carefully and maintain data-processing agreements with each of them; see the privacy policy for the current list.

Confidentiality and security

Each party agrees to protect information it receives from the other that is identified as confidential or is of a nature that should reasonably be treated as such.

Cashbox applies industry-standard technical and organisational measures to protect your data, including encryption in transit, access controls, role-based permissions, and an audit log of financial changes.

Availability and changes

We work to keep Cashbox reliably available, but the service is provided on an "as available" basis and may be subject to maintenance, outages of upstream providers, or other interruptions.

We may add, change, or remove features over time. When a change materially affects paid functionality, we will notify organisation owners in advance where reasonably possible.

Suspension and termination

You may cancel your subscription at any time from Settings → Billing. Your organisation will retain access until the end of the current billing period.

We may suspend or terminate an account for unpaid fees, violation of these terms, or conduct that puts the service or other users at risk.

After termination, organisation owners have a limited grace period to export their data. After that period, we will delete or anonymise organisation data on request, subject to legal retention requirements (for example, tax and accounting records).

Disclaimer of warranties

Except as expressly stated, the service is provided "as is" and "as available" without warranties of any kind, whether express or implied, including warranties of merchantability, fitness for a particular purpose, or non-infringement.

Cashbox is a tool to help you run your operations. It does not replace professional accounting, tax, or legal advice.

Limitation of liability

To the maximum extent permitted by law, Cashbox is not liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenue, data, or goodwill.

Our total aggregate liability arising out of or relating to the service is limited to the amounts you paid to Cashbox in the twelve months preceding the event giving rise to the claim.

Nothing in these terms limits liability that cannot be limited under applicable law.

Indemnity

You agree to defend and indemnify Cashbox against claims, damages, and costs arising from content your organisation uploads, your use of the service in breach of these terms, or your violation of applicable law or the rights of a third party.

Governing law

These terms are governed by the laws of the Republic of Estonia, without regard to conflict-of-laws rules. The courts of Harju County, Estonia (Harju Maakohus, Tallinn) have exclusive jurisdiction over disputes arising from these terms, subject to any mandatory consumer rights you may have in your country of residence.

Changes to these terms

We may update these terms from time to time. Material changes will be announced on this page, and where appropriate, notified to organisation owners by email. Continued use of the service after changes take effect constitutes acceptance of the updated terms.
